Run the event. Not the inbox.
Your delegates get one WhatsApp number that answers them at any hour — flights, hotels, sessions, pickups. Your team gets one dashboard for every event you’re running.
300 delegates. Nine cities. One WhatsApp group nobody reads.
Flights land at all hours. Tickets and IDs arrive as screenshots and get typed into sheets by hand. On the day, nobody is sure who has landed, who has checked in, or whose cab never showed up.
Your client remembers the one pickup nobody logged. Across the events we’ve run, 1 in 4 guest messages arrive after 9pm or before 9am — and only 0.15% ever needed a person.
Three steps. No app for your delegates.
Upload the delegate list
The Excel your client sends, or paste it in. Group people by hotel, flight, team or session.
Delegates get a message on WhatsApp
They confirm, share flight details and send a photo of their ID — in a chat they already use. No app, no form, no password.
Your team runs it from one dashboard
Arrivals by day, rooms, pickups, check-ins and who still hasn’t replied — for every event you’re running.
One message in. A complete delegate record out.
Not a form. EventPax asks every delegate what you need, reads the reply however it’s written, fills in their record and reminds the ones who go quiet.

Escalations
Anything the concierge can’t answer goes to a named person on your team.
A pass on every phone. A scan at every stop.
Every delegate gets a QR pass on WhatsApp. Your team scans it at the airport, the hotel, the bus and the venue — the scanner works without internet, and every checkpoint shows up in one report.
QR check-in is an add-on, available on any plan.

What is EventPax?
EventPax is a guest management platform for event and MICE agencies: RSVPs, travel, rooms, IDs, check-in, and a 24×7 AI concierge.
Will our WhatsApp number get banned?
EventPax runs on the official WhatsApp Business API, not the unofficial bulk-messaging tools that get numbers blocked.
Can I run several events at the same time?
Yes. Every event you’re running sits on one dashboard, each with its own delegates, schedule and reports.
Does it replace the tools we already use?
It doesn’t have to. Import from Excel, export back to Excel, and keep the rest of your process as it is.
Does it work for delegates outside India?
Absolutely. Any delegate with WhatsApp can use it, wherever they are.
Can I upgrade my plan mid-event?
Yes. Start small and upgrade any time, even while the event is running.
Does the concierge understand Hindi and other languages?
Yes. Delegates can write in any language and the concierge will understand them. For now, it replies in English.
Can my client log in too?
Yes, as a co-host with the access you choose. Vendor names, costs and payments stay visible only to you.
Can messages go from our own brand number?
Yes, as an add-on. Delegates then see your agency’s name instead of ours.
How long does setup take?
About an hour to get your first event live. If you want messages to come from your own brand, allow a week for that.
Can my client see a report?
Yes. Export guest lists, arrival manifests and check-in reports to Excel or PDF and send them over.
Do delegates need to download an app?
No. Everything happens on WhatsApp, which they already have.
Which plan do I need?
Basic lets you message your delegates. Standard adds RSVP, travel and ID collection. Premium adds the AI concierge, escalations and the AI assistant. QR check-in is an add-on on any plan. We’ll help you pick on a demo.
What if a delegate asks something the bot can’t answer?
It goes straight to someone on your team, with the full chat attached, so they can reply without asking the delegate to repeat themselves.
What if I have more than 1,000 delegates?
Every plan includes up to 1,000 delegates, and you can add more in blocks of 1,000.
What happens to delegate data after the event?
All delegate data, including ID documents, is deleted one month after the event.
Run your next event without being the helpdesk.
Twenty minutes on a call is usually enough to tell whether this fits how your team works.
